Privacy Statement
Last updated: September 19, 2026
Scope
This Privacy Statement describes how Sides Archive LLC ("Sides," "we," "us," or "our") may collect, use, disclose, and retain information when you visit the Sides website, join the waitlist, communicate with us, or use a Sides service that links to this statement. It does not cover third-party services that publish their own privacy notices.
Information we may collect
- Information you provide. This may include your email address, account and profile details, support messages, feedback, and other communications.
- Archive and intake information. If you use the Sides service, this may include the records, descriptions, images, notes, and other information you choose to add about physical recorded music.
- AI interaction information. If you choose to use Maestro, this may include prompts, intake details, feedback, and supported attachments you submit, together with the responses and proposed values Maestro generates.
- Technical and usage information. This may include IP address, device and browser information, pages viewed, referring pages, approximate location derived from IP address, timestamps, and diagnostic or security logs.
- Information from other sources. This may include public or licensed information about a recording that Maestro retrieves as outside evidence for the intake in front of you.
How Sides uses artificial intelligence
Maestro is an optional AI-assisted research feature. Manual intake remains available. Maestro researches outside evidence about the recording in front of you and proposes values for your review. It cannot decide what is true for your Archive, save a proposal as an Archive record, or browse, explore, edit, merge, or reorganize your Archive.
When you choose to use Maestro, information you submit for that intake may be sent to third-party providers that host, operate, or support the AI feature. Those providers may process the information to return the requested output, maintain the feature, prevent abuse, and meet legal obligations. Do not submit sensitive, confidential, or personal information that is not needed for the intake.
AI-generated responses may be inaccurate, incomplete, or misleading. Review the underlying evidence and every proposed value before using it. Maestro's research is gathered for the requesting user and Archive; it does not become part of a shared global catalog.
How we may use information
We may use information to:
- provide, maintain, secure, troubleshoot, and improve Sides;
- operate the waitlist and send requested product updates;
- create and manage accounts and user-authored Archives;
- provide Maestro and other features you choose to use;
- respond to questions, feedback, and support requests;
- understand service performance and prevent fraud, abuse, or security incidents;
- comply with law and enforce our agreements; and
- carry out another purpose disclosed to you when information is collected.
How we may disclose information
We may disclose information:
- to vendors and service providers that help us provide hosting, authentication, waitlist, communications, security, analytics, support, and AI functionality;
- when you direct us to disclose it or otherwise consent;
- when reasonably necessary to comply with law, protect rights or safety, investigate misuse, or enforce our agreements; and
- as part of a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of the business, subject to applicable law.
Retention and security
We may retain information for as long as reasonably necessary to provide the service, maintain legitimate business records, resolve disputes, enforce agreements, and meet legal obligations. Retention may vary based on the type of information, why it was collected, and applicable law. We use administrative, technical, and physical safeguards designed to protect information, but no system is completely secure.
Your choices and rights
You may choose manual intake instead of Maestro. You may also unsubscribe from marketing email by using the instructions in the message. Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, or to object to or restrict certain processing. We may need to verify your identity before completing a request, and exceptions may apply under law.
To request deletion of your personal information, contact us at support@sidesarchive.com. We may require reasonable information to verify your identity and your authority over the applicable Sides Account before completing the request. Exceptions may apply under law.
Children's privacy
Sides is not directed to children, and we do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided personal information improperly, contact us so the matter can be reviewed.
Changes to this statement
We may update this statement as Sides changes. We will post the updated version and revise the date above. When required, we will provide additional notice or request consent before a change takes effect.
